Three systems to set up before your diary fills

Most medics come into aesthetics with years of clinical training and very little in running a business. The first clients arrive, the diary starts to fill, and the admin quietly moves into the evenings. The answer is rarely working harder. It is a few simple systems, set up while the diary still has room to breathe.

A booking journey that protects your time

Online booking that takes a deposit at the point of booking does two things at once. It reduces no-shows, and it means clients have committed before they arrive. Pair it with a clear window for moving or cancelling, written in plain language and sent automatically with every confirmation, and most of the awkward conversations are settled before they begin.

Records and aftercare that run themselves

Consent forms, medical history and aftercare are part of safe practice, but they do not need to be rewritten by hand for every client. Keep one approved version of each document per treatment, store them where everyone who needs them can find them, and send aftercare automatically once a treatment is complete. Your records stay consistent, and your evenings stay yours.

A weekly look at your numbers

You do not need a finance degree to understand your business. You need the same few numbers, looked at on the same day each week: what came in, what it cost to deliver, how many clients rebooked, and where your new enquiries came from. Ten minutes at the end of the week is enough to notice a pattern before it becomes a problem.

Start with one

None of these needs to be perfect, and none needs to happen all at once. Choose the one that would give you back the most time this month and put it in place. At every Table, each guest leaves with one thing to put in place the next morning, and very often it is one of these three.

If you would like to talk your systems through with peers working on the same thing, the next Table is open for applications.
